Organizations
In the OneWare Cloud, projects, plans, credits, licenses and invoices belong to an organization, not to a single user. This lets a team share projects, one plan and one pool of credits, while owners and admins keep control over costs and data.
Your organizations
- When you register, you automatically get a personal organization. You can rename it at any time.
- You can create more organizations, for example one per company or customer, and be a member of organizations of other people.
- The active organization is used for new projects and for OneWare Agents. The account menu in the top right shows it; switch it under Account → Preferences or by opening another organization from the account menu.
- Each project belongs to exactly one organization. Plan limits, credits and policies of that organization apply to the project, no matter who works on it.
Roles
| Role | What they can do |
|---|---|
| Owner | Everything an admin can do, plus transferring ownership and deleting the organization. Every organization has exactly one owner. |
| Admin | Manage members, invitations and member budgets, buy plans and credits, redeem Deployment Credits, manage licenses, the self-hosted worker and policies. |
| Member | Work on the projects of the organization within their budget. Members see their own budget and usage, not the billing or the member list. |
Owners and admins see these tabs on the organization page: Overview, Projects, Members & Budgets, Billing & Credits, Usage, Licenses, Self-Hosted Worker and Settings. Members see My Budget, Projects, My Usage and Settings.
Inviting members
- Open the organization and go to Members & Budgets.
- Invite people by e-mail address and choose their role. Only the owner can invite admins.
- The invited person receives an e-mail. If they do not have an account yet, the invitation is accepted automatically when they register with this e-mail address.
Your plan may limit the number of members.
Budgets
All members use the credits of the organization. To keep costs under control, owners and admins can:
- set a monthly Compute Credit budget per member. When it is used up, the member cannot start new trainings or send new requests to OneWare Agents until the next month or until the budget is raised.
- decide per member whether they may redeem Deployment Credits to unlock projects. Admins always may.
Only the owner can change the budgets of admins.
The Usage tab shows training time, credits and OneWare Agents usage per member and per model.
Policies
Under Settings → Policies, owners and admins can set restrictions that apply to every member, on the web and in OneWare Studio:
- OneWare Agents models: All models, EU models only (only models processed inside the EU) or Disabled. See OneWare Agents.
- Only use self-hosted workers: Trainings, tests and exports only run on your self-hosted worker, and OneWare Studio cannot upload project files to OneWare Cloud. Requires a plan with self-hosted workers.
Leaving, transferring and deleting
Everything is under Settings of the organization:
- Leave organization: Members and admins can leave at any time. The owner has to transfer ownership first; they then stay an admin and can leave.
- Transfer ownership: The owner hands the organization to another member.
- Delete organization (Danger zone, owner only): The page shows what still prevents the deletion. All projects must be deleted and a running paid plan must be cancelled and expired first. Members lose access and are moved to another organization.
Remaining credits and Deployment Credits expire without compensation when an organization is deleted. See the refund policy.
Deleting your account
You can delete your account under Account in the OneWare Cloud. The page lists what still blocks the deletion:
- You own an organization with other members: transfer ownership or remove the members first.
- You own an organization with a running paid plan: cancel the plan and wait until it has ended.
- You have queued or running jobs: wait until they have finished or cancel them.
When your account is deleted:
- Organizations in which you are the only member are deleted together with their projects.
- Projects you created in organizations with other members stay with the organization and are handed over to another member (admins first).
- Your personal data is deleted. Invoices and credit transactions are kept without your name for accounting, and usage statistics are kept under an anonymous pseudonym.
See the privacy policy for details.
